The Requirements

To be a good fit for this opportunity you will have:
  • A bachelor’s degree in business, real estate, or finance, preferred; or the equivalent combination of education and experience.
  • A minimum of three years of related real estate experience in commercial property management or similar industry. Quick question for you - click here
  • A proven track record of providing superior customer service.
  • Strong understanding of financial terms and principles and the ability to analyze financial statements.  
  • Proficient computer skills, including MS Office Suite.
  • Familiarity and experience with Yardi or a similar property management software program.
  • The ability to express ideas clearly in written and verbal communications, including the capability to create complex financial and business related documents.
  • Experience working in a fast paced, high volume workplace. 
  • Strong organizational skills and detail orientation.
  • Strong interpersonal skills.
  • Self-starter mentality, and the ability to work with minimal supervision.
  • Excellent computer skills and the ability to learn new systems and programs. 
  • Strong Property / Construction accounting background is preferred. Data center experience would be a plus.
You will also receive a smartphone to monitor and respond to customer tickets and requests when you are off-site.
 

The Role

Reporting to the Real Estate Manager, you will work to support your supervisor in all aspects of management for the assigned portfolio, with a specific focus on the financial and operational functions. You will play a key role assisting and supporting the operations and financial responsibilities of the properties within the portfolio, providing various financial reports and accruals, re-forecasts, budgeting and reconciliations. Quick question for you - click here

Managing our customer ticketing system and conducting property walk-through inspections will also be central components to this role. You can expect to interface with customers / tenants on a regular basis. Additionally, we’ll look to you to help organize tenants events and oversee other special event coordination as needed.

More specifically, you will:
  • Supervise and assist the accounts receivable process including monthly miscellaneous customer charges, preparation of monthly customer invoices, collection of rent and outstanding charges, application of customer cash receipts, compliance with lease terms, and preparation of all related documentation.
  • Supervise and assist with the accounts payable process including expense accruals, invoice coding and processing, setting up new vendors in AP system, preparation of purchase orders, managing purchase order log, preparation of check requests and special processing forms.
  • Respond to customer requests and coordinate with the Property Management and Engineering Team to resolve the issues. 
  • Assist with change request customer notification process.
  • Perform property inspections on a regular basis to ensure that curb appeal, path of travel are tour ready and make recommendations to maintain and enhance the asset.
  • Support the planning, budgeting and control of operating and capital expenditures.  Administer and assist in the preparation of annual budgets, forecasts, and monthly  variance reports
  • Assist with the execution of the annual operating expense and capital budget including the identification of the scope of work, management of the bid process, vendor selection, and coordination of all required approvals to proceed and scheduling the work. 
  • Support Digital Realty Operational Excellence Program, including the Property Audit, Technical Operations Audit, Security Assessment and the completion of janitorial inspections. 
  • Coordinate the completion of customer requested deployment projects, data center services and cross connects including preparation and execution of lease documentation, coordination of data center services and/or 3rd party vendor and completion of customer billing.
  • Support the process to source local service providers, including definition of scope, vendor qualification, preparation of the bid package and request for proposal documentation, bid review, and preparation and review of local vendor service contracts and addendums.
  • Oversee vendor performance by completing periodic inspections and meeting with vendors to ensure that the services provided comply with scope of work specifications and all terms and conditions of the contract.
  • Coordinate the customer emergency response training and evacuation drills
  • Support the project management of development and building capital projects including completion of construction project property inspection checklist, coordination of additional vendor services and identification of capitalized expenses.
  • Maintain accurate and pertinent information for vendors and customers including system access, security, and contact data, emergency contact lists and Event Management System data. 
  • Identify and execute Customer Survey action plan.
