The Requirements

The ideal candidate will have strong motivation, the ability to learn quickly and a professional demeanor. To be a good fit for this opportunity you will have:
  • At least two years of related administrative / office / basic finance experience 
  • A background in property management (commercial property management experience is preferred to residential) 
  • Experience with Yardi or similar property management software 
  • Proficiency in Microsoft Word, Excel and Outlook
  • Bookkeeping experience (accounts payable, accounts receivable, comfort creating budgets, etc.)
  • A proven record of providing excellent internal and external customer service
  • A valid driver's license and reliable transportation (you will need to visit various properties from time to time)
  • An understanding of general financial reporting
  • A professional demeanor and appreciation for office etiquette
  • A strong learning acumen and a drive to expand your skills and knowledge
  • Self-motivation and flexibility
  • The ability to work both independently and in a team environment
  • A good command of the English language, including excellent communication skills

You'll primarily work an 8 to 5 schedule, Monday through Friday, but should be willing to put in additional hours to finish special projects and during property audits.

The Role

Reporting to the Real Estate Manager, you will support a team that includes an Assistant Real Estate Manager and another Property Assistant. This data center also has an Engineering team.

The role is essentially a combination of bookkeeping and administrative support, and you'll invest the larger part of your time supporting accounting and finance activities, including:
  • Accounts receivable and accounts payable, including collection of rent, accruals, payment of expenses, compliance with lease terms and other related activities.
  • Assembling and gathering information for annual budgets, forecasts, monthly reports and variance reports.
  • Managing the PO log and preparing the service agreements, addendums, work letters and other items.
While you may advance your career along a variety of paths, the activities above are an important part of the Assistant Real Estate Manager and other roles, so you'll be learning the very things you need to know to move up.

In addition your activities will include:
  • Supporting lease administration, including developing lease abstracts and maintaining all lease- and property-related files.
  • Responding to customer requests and needs and coordinating with the Property Management Team to assist in resolving issues.
  • Assisting in the selection and performance of vendor services, including preparation of requests for proposals and service agreements.
  • Monitoring vendor performance to ensure compliance and standards established in the service agreement are being met.
  • Scheduling and facilitating maintenance with vendors and customers.
  • Documenting and tracking all certificates of insurance from vendors and customers.
  • Maintaining accurate and pertinent information for vendors and customers.
  • Preparing correspondence to customers and vendors.
  • Establishing and maintaining effective working relationships with internal and external customers and vendors.
  • Scheduling and coordinating meetings and customer events.
