The Requirements

To be a strong fit for the Executive Assistant to the COO opportunity, you should have:
  • 5+ years of experience as an Executive Administrative Assistant including at least 2 years supporting a C-Level executive(s)  Quick question for you - click here
  • A professional and articulate presence and comfort interacting with senior executives
  • Excellent Microsoft Office skills (e.g. Word, Excel, and Outlook) including advanced PowerPoint skill. You should be able to create polished, high-level projects for varying audiences, both internal and external, including importing data from other applications such as Excel  Quick question for you - click here
  • Graphic design experience is a plus, ideally Adobe InDesign  
  • The ability to support varied work hours (early and/or extended hours) as needed to accommodate global interactions
  • A bachelor's degree from an accredited four-year college or university is preferred
  • Experience working at a Public company is a plus

The Role

In this critical role, you will directly support and serve as the right hand of the COO, keeping him organized, planning his travel, completing high-level presentation work, helping complete projects, acting as gatekeeper -- doing whatever is needed to allow him to optimally perform his role.

The COO role is newly added to our organization, making this Executive Assistant role new as well. You’ll get to know the COO, learn his work style and expectations and bring your own talent and experience to the table so that you can help shape and define your role. In addition to your technical skills, you’ll need a polished and professional style and the ability to interact effectively with the COO, other executive leaders, board members and peers throughout the office. In this role, you will be responsible for:
  • Creating PowerPoints, Word docs and other presentation collateral, keeping in mind the audience that the presentation will address
  • Developing spreadsheets and reports (such as variance reports)
  • Tracking and managing expenses
  • Schedule management
  • Project prep-work/research
  • Managing travel arrangements -- domestic and heavy international travel; knowledge of time zones and how to route/reroute based on schedule changes, layovers, weather or other unforeseen conditions  Quick question for you - click here
  • Arranging meeting venues, business dinner reservations, and other meeting details
  • Performing administrative duties such as updating databases, preparing materials for meetings, preparing Board materials, etc.
