We're looking for a motivated, highly-trainable professional with Real Estate experience, strong basic accounting skills and the drive and bandwidth to advance in the role and company.

You will come on board as a temporary employee. Assuming that you perform to expectations, our goal is to transition you to regular employee status. The ideal candidate for this role will be smart and capable, have strong motivation, a professional demeanor, and the disposition to work with a diverse range of levels, titles and personalities.

Pictured: located in the heart of Silicon Valley within the Santa Clara data center campus near US 101, this facility is set on major fiber routes and near three cost effective substations on the power grids of Santa Clara. The Data Center has 29,234 square feet of raised floor with 4,500 kW of critical IT load supporting two IT service companies. This facility is Platinum LEED certified.

The Requirements

To meet the basic qualifications for this role you will have legal authorization to work permanently in the United States for any employer without requiring a visa transfer or visa sponsorship. To be a good fit for the Property Assistant opportunity you also will have:
  • At least two years of bookkeeping/accounting and office admin experience. You'll need a strong grasp of basic accounting principles (AP/AR, reconciliations. reporting, etc.).  
  • Solid experience in the real estate industry -- commercial real estate is preferred, but we will consider strong candidates with a background in residential real estate.   • An associate's degree is required; a bachelor's degree is preferred.
  • Proficiency in Microsoft Office applications including Word and Outlook; intermediate skill in Excel to create spreadsheets and run reports.  Quick question for you - click here
  • A track record of providing excellent internal and external customer service.
  • Strong learning acumen and the drive to expand your skills and knowledge.
  • Technical savvy including the ability to learn new or customized software.
  • Experience with Yardi or similar property management software preferred.
Just as important will be the following qualities and characteristics:
  • Strong organizational skills and a detail orientation.
  • Excellent organizational skills and the ability to multitask and manage multiple activities and priorities.
  • A good command of the English language, including excellent written and verbal communication skills.

You'll primarily work an 8 to 5 schedule, Monday through Friday, but should be willing to put in additional hours to finish special projects, manage month-end responsibilities or during property audits.

The Role

Reporting to the Real Estate Manager, you will join and support a Property Management team including your supervisor, an Assistant Real Estate Manager and yourself. While this can be a jack-of-all-trades role requiring flexibility, the role is essentially a combination of bookkeeping and administrative support. You'll invest the larger part of your time supporting accounting and finance activities, such as accounts receivable/accounts payable, rent collection, accruals, expense payments, common area maintenance estimates, true-ups, reconciliations, compliance with lease terms and preparation of all related documentation, and standard and ad hoc reports. Quick question for you - click here

Specific activities will include:
  • Responding to customer requests and needs.
  • Coordinating with the Property Management team to assist in resolving issues.
  • Assisting in the selection and performance of vendor services, including preparation of requests for proposals and service agreements. You'll also monitor vendor performance to ensure compliance and standards established in the service agreement are being met.
  • Scheduling and facilitating maintenance with vendors and customers.
  • Documenting and tracking all certificates of insurance from vendors and customers.
  • Maintaining accurate and pertinent information for vendors and customers.
  • Preparing correspondence to customers and vendors.
  • Establishing and maintaining effective working relationships with internal and external customers and vendors.
  • Scheduling and coordinating meetings and customer events.
  • Managing special projects as assigned.
These activities are an important part of the Assistant Real Estate Manager and other roles, so you'll be learning and doing the very things you need to know to move up within the company.
