The Requirements
To meet the basic requirement for this role you must have legal authorization to work permanently in the United States for any employer without requiring a visa transfer or visa sponsorship. - Experience working with an asset management group is highly preferred (i.e. experience in banking, real estate, insurance or similar)
- Proficiency with DocuSign and Microsoft Office Suite applications, including Word, Excel, PowerPoint and Outlook; SharePoint experience a plus

- Strong writing skill including accurate grammar, spelling and punctuation
- Bookkeeping experience (expense tracking, budgeting, etc.) preferred

- The ability to travel as needed; typically less than 10%
- Willingness to perform some tasks after hours to accommodate global schedules; you will receive a laptop and cell phone in order to handle some tasks from home

You will be seated in our corporate headquarters (pictured right), but will also have a seat at a nearby San Francisco location (about a 10 minute walk) where much of the team is seated. It won't be unusual for you to be at corporate in the morning and spend the afternoon at our Main Street location (pictured on The Role tab).

The Role
Your primary responsibility will be supporting two Vice Presidents.As Regional Administrative Coordinator, you will report to and be responsible for supporting two Vice Presidents and the Portfolio Management Team (a total of 9 people), by providing a wide breadth of administrative services and top-notch process, project and event coordination. You will spend 50% to 75% of your time working directly for the VPs, located in our corporate office, keeping things organized, doing project work, coordinating Investment Committee meetings and capital planning projects, acting as gatekeeper and professionally representing them to internal and external stakeholders and other contacts. More specifically, when supporting the VPs, you will:
- Coordinate Investment Committee meetings, submissions and document management
- Provide support for the capital planning process and approvals
- Interact with members of the investment committee and various internal groups to answer questions and seek approvals
- Provide support and review capital planning schedules and updates
- Review various investment committee and capital approval requests for accuracy, completeness and consistency
- Create PowerPoint presentations, Word documents and other presentation collateral
- Track and manage expense reports
- Schedule/arrange management and other meetings
- Complete project prep-work and research
- Generate purchase orders
- Arrange travel, hotels and other reservations
- Blog, post and tweet as requested
- Attend two intensive trade shows per year to manage the VP's meeting schedule and other event related tasks
- Travel periodically for training and to gain exposure to regional teams and properties
- Take on additional responsibilities as requested and assigned
The remainder of your time (25% to 50%) will be spent keeping the team, primarily located at our nearby 365 Main data center, connected and providing coordination and administrative support as needed and requested. Additionally, you will interact with other international teams for Investment Committee activities and capital projects. Your specific responsibilities in these areas will include:
- Maintaining the investment committee portal, coordinating meetings, tracking approvals and preparing meeting minutes
- Acting as a resource for Investment Committee questions and continually improving processes, templates and procedures
- Coordinating business activities within the group
- Responding to general inquiries and providing information, as needed
- Assisting with travel arrangements and process expense reimbursement requests
- Organizing meeting resources and logistics
- Preparing meeting agendas and recording meeting minutes
- Performing administrative duties such as updating databases, preparing materials for meetings, preparing Board materials, managing spreadsheets, etc.
