The Requirements

To meet the basic qualification for this role you will have legal authorization to work permanently in the United States for any employer without requiring a visa transfer or visa sponsorship. To be a good fit for the Property Assistant opportunity, you should also have:
  • At least two years of related administrative / office / basic finance experience

  • General experience and knowledge of ERP software, such as JD Edwards or PeopleSoft (preferred)
  • The ability to understand processes and learn new tools
  • Proficiency in Microsoft Word, Excel and Outlook
  • Bookkeeping experience (accounts payable, accounts receivable, comfort creating budgets, etc.)
  • A proven record of providing excellent internal and external customer service
  • An understanding of general financial reporting
  • A professional demeanor and appreciation for office etiquette

The Role

Reporting to the Regional Manager of Northern Virginia, you will join and support a team that includes two Real Estate Managers, two Assistant Real Estate Managers, and another Property Assistant. The Ashburn campus has ten properties, but rather than splitting the work by property we manage the entire campus as a team, separating duties by functional areas such as tenant requests, specific reporting functions (i.e. variance or other reports), etc. In addition to working with the Virginia team you will interact with colleagues at other locations, such as our corporate offices in San Francisco, California.
 
The role of Property Assistant is essentially a combination of bookkeeping and administrative support. You'll invest the larger part of your time supporting accounting and finance activities, including:
  • Accounts receivable and accounts payable, including the collection of rent, accruals, payment of expenses, compliance with lease terms and other related activities.
  • Assembling and gathering information for annual budgets, forecasts, monthly reports and variance reports.
  • Managing the PO log and preparing the service agreements, addendums, work letters and other items.
While you may advance your career along a variety of paths, the activities above are an important part of the Assistant Real Estate Manager and other roles, so you'll be learning the very things you need to know to move up.

Your activities will include:
  • Supporting lease administration, including developing lease abstracts and maintaining all lease and property-related files.
  • Responding to customer requests and needs and coordinating with the Property Management Team to assist in resolving issues.
  • Assisting in the selection and performance of vendor services, including preparation of requests for proposals and service agreements. You'll also monitor vendor performance to ensure compliance and standards established in the service agreement are being met.
  • Scheduling and facilitating maintenance with vendors and customers.
  • Documenting and tracking all certificates of insurance from vendors and customers.
  • Maintaining accurate and pertinent information for vendors and customers.
  • Preparing correspondence to customers and vendors.
  • Establishing and maintaining effective working relationships with internal and external customers and vendors.
  • Scheduling and coordinating meetings and customer events.
