To meet the basic qualification for this opportunity, you must have legal authorization to work permanently in the United States for any employer without requiring a visa transfer or visa sponsorship. In addition, to be a good fit for Senior Payroll Associate, you will have:
  • A bachelor’s degree or equivalent; business focus a plus
  • 5+ years of Payroll experience in a public, multi-national company where you have gained:
    • Excellent knowledge of SOX requirements, payroll processes, workflow, and practices
    • A deep understanding of the month-end accounting for payroll
    • An understanding of all payroll reports including reports from payroll for accounting’s general ledger

  • Outstanding interpersonal, verbal and written communication, and collaboration skills, and the ability to effectively collaborate throughout the organization
  • Solid business acumen

Though we generally work during normal business hours, you’ll need to be flexible enough to occasionally work longer hours as projects, month-end and other demands require (such as when a holiday falls during payroll). We plan to return in person to the Dallas office next January. We are currently working 100% remote for now, but when we return we’ll expect all team members to work at least 2 days per week from the office on a consistent basis.

Reporting to the Payroll Director for the Americas, you will join the Payroll team, which is housed under the HR Department. You and your Director will complete payroll for all employees in the U.S. and Canada, including three different payrolls across 32 states, and a handful of ex-pats, totaling about 1,500 employees.

You’ll spend most of your time preparing for and processing bi-weekly payroll, including documenting and keeping track of everything that goes into the payroll. You will work with the HR team and your Director to pull time from the HR system into the payroll system (UltiPro), verify data, respond to requests for verification of employment, run reports after every payroll and prepare balance worksheets, complete system maintenance, and more. You will also learn how to process stock entries for tax purposes, if you don't already know how to do it. This is a fast-paced environment with quick turnarounds – payroll usually opens on a Monday and must be complete by EOD Tuesday – but it’s very doable if you stay focused and have a strong detail orientation.

Some of your specific tasks will be to:
  • Assist in overseeing the bi-weekly multi-state payroll processing for 1,500+ employees.
  • Work closely with Stock Administration, Legal, Tax and HR Departments in the administration of payroll and equity-related issues.
  • Develop and set requirements for projects related to the payroll function in order to bring value to the company through streamlining processes, automation, and more.
  • Integrate any newly acquired companies into the payroll system.
  • Research and provide guidance on complex payroll and tax issues.
  • Approve the financial month-end close accounting entries for Payroll, including Journal Entries and Account Reconciliations.

With your experience in payroll, you will already know a bit of what it takes to be successful: a detail orientation, the ability to keep up with everything even during quick turnarounds, the desire to hustle to meet deadlines, and a keen eye to ensure accuracy in everything you do. But beyond the basics, we also need you to be a self-starter, willing and able to learn and do any research needed to quickly get up to speed on our company and our system.

You’ll need to be willing and able to work independently and to seek our resources, such as the documentation on the vendor site for our payroll system. We have to meet strict deadlines in this quick turnaround environment, so we need someone who will choose to take initiative, push, and go above and beyond to keep moving the process forward.

At the same time, a lot of our work is cross-functional, so you should bring a collaborative approach. Our ideal candidate has a customer service mindset and a positive attitude. You will receive questions throughout your work day from employees, HR Business Partners, and possibly even company leadership. You’ll need to be able to shift gears, find that answer, and deliver it in a positive way. A strong sense of ownership and accountability is a must.
