As Office Manager, you will be responsible for the oversight and management of all aspects of Workplace Services using a centralized service delivery model supporting the office and multiple internal clients in a service center environment. You will manage the office and provide hands-on support in multiple areas including all reception, administrative, hospitality, and office services. This role will work closely with other leaders, both locally and nationally, to drive the efficiency and cross teams that are critical to delivering the highest levels of service. You will learn and retain deep knowledge of the company, our employees and their needs to provide outstanding service. Additionally, you will serve as the main point of contact regarding office operations, building strong and professional relationships with internal stakeholders and external vendors.

You will work a Monday through Friday day shift (8:30 - 5:30), with occasional overtime.

More about the Role
Specifically, your responsibilities will include:
  • Managing daily operations duties including:
    • All aspects of facilities operations to ensure the highest levels of efficiency and stakeholder satisfaction.
    • Reception duties for the office (and as a member of the workgroup support tree for other North American offices), including phones and reception desk guest services.
    • Incoming and outgoing mail services. Note, you may be required to move boxes up to 25lbs.
    • Administrative, hospitality, and office services tasks.
    • Maintenance and restock of the break room, kitchen and copy areas.
  • Managing office manager responsibilities including:
    • Vendor and payment management.
    • Managing client and vendor relationships including landlord/building service providers to ensure consistency and quality service delivery is maintained at the highest levels.
    • Workstation space allocation management.
    • Budget management.
    • Project management for special office-related projects.
  • Partnering with others to develop and execute service strategies, programs, and processes for delivering a superior employee experience; ensuring the consistent implementation and compliance of local, regional and national initiatives.
  • Collaborating with other groups to promote and facilitate cross-training and teaming; proactively building a cohesive team by educating, sharing information, and providing updates.
  • Monitoring various reporting tools to ensuring compliance with operational policies and procedures (daily time reporting, over time, Yardi, etc.).
  • Building strong relationships with local office leadership by understanding business needs, managing flawless service delivery, resolving issues, and bringing solutions for all employee needs. Leveraging relationships, as needed, to seek conflict resolution as it relates to people or services provided.
  • Serving as an ambassador for Workplace Services and educating employees and team members on service offerings and capabilities.
  • Assisting in the budget planning process as it relates to the Workplace Services budgets and expense forecasting for atypical items such as capital purchases and increased maintenance spend.
  • Proactively managing/leveraging resources to balance overtime requests with services provided.
  • Analyzing monthly financial results and providing guidance/consultation to key stakeholders.
  • Acting as a project manager for office projects including the overall planning, direction, coordination, implementation, execution, control, and completion of specific project requirements.
